This role is responsible to manage the day-to-day operations of a store's inventory, including receiving, organizing, and tracking stock, while also assisting the Store Manager with daily operations and staff supervision.

Key Responsibilities

  • Conduct physical counts and audits of store inventory, identify discrepancies, and take corrective action to ensure accuracy.
  • Prepare stock reports and assist with budgets & inventory planning.
  • Monitor and control stock levels to meet demand while minimizing costs. 
  • Organize the store for efficient access and identification of stock. 
  • Support and provide guidance to store staff, ensuring adherence to policies and procedures,
  • Maintain accurate stock levels by conducting regular audits, cycle counts, and addressing discrepancies promptly.
  • Monitor inventory levels and manage stock replenishment processes
  • Enforce FIFO (First In, First Out) and FEFO (First Expired, First Out) procedures rigorously for all food items.
  • Maintain accurate records using inventory management systems / ERP to track stock movements.
  • Collaborate effectively with Procurement Department to optimize inventory processes.

This role is responsible for managing the PCB’s procurement activities and contract management processes to ensure cost-effective, timely, and compliant acquisition of goods and services.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES

  • Assist in planning and executing procurement activities for goods, services, and works in compliance with PPRA rules and PCB policies.
  • Prepare and process purchase requisitions, RFQs, RFPs, and tenders, ensuring accuracy, transparency, and timely completion.
  • Coordinate with user departments to understand procurement needs, technical specifications, and delivery requirements.
  • Support contract drafting, issuance of purchase orders, and management of vendor agreements.
  • Liaise with vendors and suppliers to ensure timely delivery, quality compliance, and effective issue resolution.
  • Maintain complete procurement records and documentation to support audits and ensure regulatory compliance.
  • Ensure compliance with internal policies, PPRA Rules, and applicable legal and regulatory frameworks.
  • Maintain accurate records of procurement activities, contracts, and vendor performance.
